The Human Resources Specialist for Oceana in Europe plays an essential part within the Human Resources (HR) department and serves as the primary point of contact for employees across Europe. Key responsibilities include providing guidance and support to employees on all HR-related matters, as well as overseeing the management of the employee lifecycle. This includes managing recruitment processes, onboarding new staff, data analysis and reporting, and ensuring compliance with health and safety regulations. Additionally, this role will support the HR Director with a variety of administrative tasks.
Human Resources Administration
1. Manage personnel administrative processes, employee life cycle, ensuring accuracy and efficiency.
2. Manage contracts administrative processes in the CLMS system.
3. Contribute to Human Resources goal, including gathering data, metrics and ongoing reports.
4. Maintain and provide information regarding labour law audits, donors, tax compliance and other legal processes.
5. Manage payroll and benefits administration.
6. Ensure accurate records of attendance and any other employee information that must be updated and kept in Human Resources tools.
Health & Safety
1. Responsible for reviewing health and safety procedures, plans, permits, and reports across offices in Europe (audits, medical revisions, risk yearly reports, legislation updates, and emergency plans) acting as a point of contact for safety queries and emergency plans.
2. Ensure compliance with regulatory requirements for office safety across the organization in collaboration with Human Resources Director.
3. Responsible for the administration of organisation’s expeditions safety procedures.
4. Support the Human Resources Director in monitoring among others: travel, accidents, law updates, and any other health or well-being policies.
Recruitment, Talent Management, and Development
1. Recruitment: Assist with the recruitment process, including posting job adverts, managing applications, scheduling interviews, and liaising with hiring managers. Provide administrative support during the selection process and maintain candidate records.
2. Onboarding and Employee Orientation: Oversee the onboarding process, ensuring compliance with legal requirements, managing the onboarding plan, entering data into the Human Resources Information System (HRIS), and facilitating a smooth transition from candidate to employee.
3. Training Management: Assist in coordinating training sessions and development programmes. This includes managing bookings, liaising with external training providers, and tracking employee training records. Ensure that training consultants and providers adhere to established processes, while managing logistics to meet the organisation’s specific training needs.
4. Performance Reviews: Provide support for the annual Performance Review Process, assisting in the coordination and execution of evaluations.

1. Support the Human Resources Director with any other tasks related to the Human Resources function.
Candidate Requirements:
Education and work experience:
Bachelor’s degree in psychology/human resources management or related field and 5 years of Human Resources experience, or equivalent combination of education and experience.
