Multinational group within the chemical sector, with headquarters in the province of Barcelona (Vallés Oriental), needs to incorporate an EXECUTIVE ASSISTANT TO CEO.
Reporting directly to the Group CEO, s/he provides executive assistance in a one-to-one working relationship, being responsible for providing comprehensive support and facilitate CEO’s daily activities. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Main responsibilities:
* Board of directors meeting organisation and preparation of materials (travel organization, meals, proofread minutes, presentation…).
* Seamless organisation of the rigorous agenda of the CEO. Prioritizing inquiries and requests while troubleshooting conflicts; making judgements and recommendations to ensure smooth day-to-day engagements.
* Scheduling meetings, teleconferences and video conferences across time zones.
* Managing travel logistics, travel agency and contracts with hotels: Leads and coordinates travel itineraries and related meetings. Includes the coordination of calendars, travel plans, expense reimbursements, filing, etc.
* Providing hospitality to all guests to the CEO and help to create a welcoming environment.
* Prepares electronic files with validated ability to proofread for spelling and grammar.
* Organizing events.
* Social responsibility related tasks (donations, collaboration with NGOs…).
Requirements:
* University degree, desirable and an Executive PA diploma or certification is a plus.
* At least 10 years' experience as Executive assistant, preferably to a CEO.
Personal capabilities:
* Strong verbal and written communication skills.
* Able to maintain a high level of integrity and discretion in handling confidential information.
* Excellent judgment is essential.
* Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
* Project Management experience relating to organizing and leading events and projects.
* Exceptional organizational and time management skills.
* A commitment to quality outputs with a high degree of attention to detail and a customer first mindset.
* Proactivity, looking ahead at future activities, projects and events and anticipating needs, problems and possible outcomes. H/she must be able to act without guidance.
* Empathy, sensing other people's emotions and acting accordingly.
Languages:
* Bilingual Spanish & Catalan.
* Full Proficiency English.
* Knowledge of other languages, especially French, would be an asset.
Proficient user of MS Office.
