The Admissions Coordinator is a pivotal member of the administrative team, dedicated to maintaining the highest standards in admissions operations and enhancing the school's public perception. This role involves managing admissions processes, conducting family interviews, analysing competitors, and organising promotional events. The ideal candidate will exhibit a high level of professionalism, demonstrate effective time management, and work independently while upholding the school’s values and commitment to excellence.
Responsible To : Head of Admissions
Key Responsibilities :
1. Oversee and coordinate the scheduling of admissions appointments and interviews.
2. Ensure a smooth and efficient admissions process from inquiry through enrollment.
3. Ensure all application materials are complete and meet the school’s requirements.
4. Coordinate with prospective families to provide necessary information and updates.
5. Facilitate interviews with prospective families, providing clear and accurate information about the school.
6. Ensure a positive experience for families through professional and supportive interactions.
7. Serve as the first point of contact for inquiries via phone, email, and in-person visits. Updating HubSpot in a timely manner with all customer interactions and information.
8. Provide detailed information about the school’s programs, admission requirements, and application procedures.
9. Schedule and coordinate tours, interviews, and meetings with prospective families and students.
10. Manage the onboarding process for new families, ensuring a smooth transition into the school community by updating iSams with all new family information and enrolment choices.
11. Oversee compliance with paperwork requirements, ensuring all necessary forms and documents are completed accurately and stored efficiently.
12. Prepare and produce Welcome Packs for new families joining the school.
13. Address any issues or concerns new families may have during their initial phase at the school.
14. Conduct analysis of competitor schools to inform strategic planning and admissions strategies.
15. Stay informed on industry trends and best practices.
16. Maintain comprehensive and secure records of student admissions data and documents.
17. Ensure adherence to data protection regulations and internal policies.
18. Handle sensitive and confidential information with discretion and integrity.
19. Organise and administer entrance tests and evaluations, coordinating with relevant staff and faculty.
20. Ensure all testing procedures are conducted smoothly and efficiently.
21. Prepare and generate reports on admissions statistics and applicant status as required.
22. Plan and execute events to promote the school, such as open days, tours, and informational sessions.
23. Collaborate with the marketing team to develop and implement effective promotional materials and strategies.
24. Assist in the creation and execution of advertising campaigns to attract new students.
25. Assist the Head of Admissions in preparing and submitting KPI reports to the central office as required.
26. Provide general administrative support to the Admissions Department and other school functions as needed.
27. Perform additional tasks as assigned by the Leadership Team to support the school's goals.
28. Support the administration team in periods of absences, ensuring the reception is always covered and client queries are dealt professionally within a timely manner in the absence of colleagues.
Skills, Qualifications And Experience :
1. Native level of English and Spanish; additional languages are a plus.
2. Successful relevant experience in a similar role within a customer service / sales environment.
3. Flexibility to adapt to changing priorities and deadlines.
4. Demonstrates a positive, proactive attitude and a willingness to learn.
5. Proficient in Microsoft Office and admissions software.
6. Excellent communication and interpersonal skills, with the ability to interact professionally with diverse individuals.
7. Well-presented with a professional attitude.
8. Strong organisational and multitasking abilities, with attention to detail.
9. Qualification in Business Administration, Education, Communications, or a related field preferred. Relevant experience may be considered in lieu of formal education.
