Our client, a leading global Private Equity firm operating across three continents, is currently looking for an experienced Bilingual Executive Assistant to support various key players in HR, specifically Learning & Development. These individuals are based in the UK and work across differing global jurisdictions. The role will be carried out from Madrid. Responsibilities (not limited to) include: Flawless management of diaries. Anticipating schedules, reacting to last minute changes with appropriate urgency and tact and adapting to ad hoc scheduling requests Actively managing all scheduling for the team including training, annual reviews, headcount requests, etc. Working and scheduling across global time zones Project & Progress management: monitor progress of ongoing projects and produce status reports on areas such as promotions, reviews etc. Provide constant follow up to ensure projects and implementation are on track (examples include rollout of culture & diversity initiatives) Preparation and proof reading of high quality relevant documentation, packs and reports for wider global HR team Acting as first point of contact and redirecting information as necessary Note taking and action tracking on behalf of the team Handling confidential and delicate information with integrity and discretion Working closely with team of Global Executive Assistants and core internal departments across differing jurisdictions Coordinating with other Executive Assistants for holiday cover The chosen candidate must have a complete bilingual level of English/Spanish and be a solid communicator. A relevant University degree, as well as proven experience in a similar environment (global financial services, consulting) are also prerequisites. Working knowledge of standard Tech and applications (Microsoft 365, Zoom, Slack, etc.) required. The ideal candidate will be assertive, solutions focused and able to pre-empt needs. They will be a strong communicator, confident and well versed in supporting individuals who they will not see face to face on a daily basis. They will be well organised and enjoy working with individuals across different seniorities and countries. Salary - Competitive Bonus Benefits Timetable - Full time.
