EXPERIENCE
Previous experience as an Executive Assistant position is required.
QUALIFICATIONS
University degree in Business Administration, Tourism or Secretarial Studies.
SPECIFIC KNOWLEDGE
Proficiency in Office applications: Excel, Word, PowerPoint, Outlook / Teams, Microsoft Share Point.
Languages: Native English and Spanish. Other languages would be an advantage.
Knowledge of SAP is a plus (Implementation & Approval of Purchase Orders / Financial Accounting).
Knowledge in hospitality industry would be a plus.
KEY ACCOUNTABILITIES
Personal Assistance to Chief:
* Organization and continuous monitoring of agendas.
* Coordination and monitoring of trips.
* Expense settlements.
* Split Payroll.
* Telephone assistance and reception of visitors.
SAP:
* Review of SAP inboxes of Chiefs. Follow-up of approvals.
* SAP assistance with invoices: creation and reception of generic Purchase Orders / Financial Accounting.
Supporting other tasks:
* Planning, conducting and follow-up of meetings.
* Organization of other team’s meetings & events.
* Requests to hotels for rooms / meals / internal and external accommodation / gift voucher redemptions.
