Our client, Important Wealth Management Company located in Barcelona, seeks to incorporate a OFFICE MANAGEMENT ASSISTANT. This role will be part of the Office Support area, reporting to the HR, Quality, and Office Management Manager.
Mission: To support the Family Office's operations by providing assistance to the Family Management and Office Management areas, ensuring exceptional service quality and proactively addressing needs to enhance the delivery of services.
TASKS / RESPONSIBILITIES
1. Support the smooth running of the office:
* Reception tasks (welcoming visitors, handling courier services, etc.).
* Manage purchases (office supplies, consumables, etc.).
* Supervise cleaning services (schedule for window cleaning, carpets, quality standards, etc.).
* Catering (quality control, incident tracking, etc.).
* Preparation of meeting rooms and management of the reservation calendar.
* Coordinate plant maintenance.
1. Travel Management:
* Book flights and hotels in accordance with travelers' needs and preferences.
* Coordinate with a specialized travel agency to arrange personalized trips.
2. Support the Family Management Area:
* Layout and edit digital content (communications, newsletters, historical materials, training materials, various videos).
* Family Assembly and other family activities:
o Support in organizing and preparing activities and necessary materials (presentations, panels, Kahoots, etc.).
o Search for suitable venues.
o Manage pre-event logistics and contracts.
3. Administrative Support:
* Perform various administrative tasks:
o Drafting documents.
o Liaising with suppliers.
o Renewing subscriptions.
o Managing tasks derived from area projects and services.
o Other tasks as needed by the areas.
PROFILE
Education: Higher education (preferably in Multimedia Studies or Tourism).
Experience: At least 3 years in similar tasks.
Languages: Advanced level of Catalan, Spanish, and English.
Travel Management: Experience booking flights, hotels, and transport.
IT Skills:
* Proficient in Office 365.
