Job Description
We are looking for an enthusiastic Administrative Coordinator for our Oncology Business Unit to join the commercial team in our office in Madrid, reporting to the Business Unit Director.
Essential Duties and Job Functions :
* Provides administrative and clerical support to the Marketing and Sales team in Spain.
* Prepares contracts with HCPs and other organisations.
* Management of all relevant POs.
* Responsible for coordinating events including planning, organizing, and implementation of several activities. Liaises with internal staff, guests, and speakers to assess needs and coordinates travel, hotel, expense reports, and materials for presentations. Organizes booth presence at conferences.
* Maintains a calendar of appointments, meetings, and events.
* Makes travel arrangements as needed.
* Prioritizes workload involving multiple large projects / timelines, including coordinating or leading the implementation of new / revised software applications / databases.
* Maintains inventory of supplies for the department, prepares general correspondence, and creates and maintains files.
* Understands departmental goals and objectives and contributes to their attainment.
* Coordinates the preparation of the annual budget, reviews monthly budget, and researches variances.
Knowledge, Experience & Skills :
* High school diploma and good administrative experience.
* Advanced knowledge and experience using office software such as Excel, PowerPoint, and Word.
* Fluent in Spanish and English.
* Excellent verbal, written, and interpersonal skills.
* Knowledge of administrative and office policies.
* Strong attention to detail.
* Able to work independently under general guidance.
* Able to resolve problems and make recommendations related to operations.
* Resilient with the ability to deliver in an ambiguous environment.
* Able to engage and manage multiple stakeholders.
