Role
The WH Manager is in charge of helping and assisting with all day-to-day shipments & pick-ups, as well as receiving, introducing & monitoring in our internal systems all the samples purchased and received.
His/her role is based in coordinating with other departments all the samples to be sent to medias/influencers/tenders/events and tracking the shipments and pick-ups to ensure the samples are controlled.
He/she has to combine excellent organizational skills and experience in a fast-paced working environment and the ability to work under pressure.
His/her main responsibilities and duties include doing the stock-in & stock-out from all the samples belonging to local office, testing and setting the products, packing and preparing the shipments, tracking and synchronizing with forwarders, managing internal systems & applications, and controlling timings and pick-ups from third parties.
Ultimately, the WH manager will be in charge of maintaining the warehouse room organized and tidy to be able to find & control all the samples (by model and serial number) and be able to match the real stock with the sample reports.
The WH manager must be able to work autonomously and fast and will report to the Administration, Accounting & HR Team Manager and both Country Heads.
Responsibilities
WH management
● Sync with HQ for the sample delivery dates and forwarder’s payment
● Receive all the samples purchased, do the stock-in in internal systems (model & serial number) and file them in the warehouse room
● Test samples and do the proper setting before sending to third parties/tenders or aftercoming from events
● Ensure that the real stocks in warehouse room match with the virtual stocks from WH reports
Shipments management
● Prepare the correct packing to avoid issues during transportation
● Coordinate with the forwarder and prepare the paperwork accordingly
● Ensure the delivery notes are properly signed and filed
● Coordinate and claim to the forwarder or their insurance vendor the indemnity for all the cases broken/missing during transportation
Internal systems management
● Ensure all the samples are correctly inserted into the internal systems
● Review that all the exit applications are correctly requested and approved before sending the samples
● Track all the returning dates and do the proper reminders for third-parties pick-ups
● Update periodically the samples status (broken, missing, write off, sold, etc.)
Other duties
● Review and negotiate periodically the forwarders’ fees
● Coordinate with both MKT and Sales departments to keep updated the showroom in office
● Collect all the delivery notes for quarterly tax forms
