We are seeking a dedicated Receptionist to join our vibrant educational environment and provide exceptional support to staff and students. The school receptionist plays a pivotal role in ensuring the efficient operation of our school. As a vital member of the school staff, the receptionist is dedicated to the school's aims and philosophy. Reporting directly to the Heads of School, the school receptionist fulfils confidential receptionist and clerical responsibilities critical to the efficient functioning of the school office. This role provides essential administrative support to the Heads of the schools and school staff, addressing daily clerical needs.
Key Responsibilities
1. Provide effective and efficient receptionist, administrative, and clerical services agreed upon by the Headteacher, including general reception duties and administrative support.
2. Be responsible for signing in visitors to the school and ensure courteous communication.
3. Translate documents as needed.
4. Maintain a welcoming environment, offer hospitality to visitors, and provide directions within the building.
5. Deputize for colleagues as part of the office team.
6. Answer telephone calls, address caller inquiries, and transfer calls to appropriate individuals or departments.
7. Forward requests for information and messages to the relevant individuals or departments.
8. Perform various clerical duties, including filing.
9. Sort and categorise incoming mail and information for efficient distribution.
10. Manage and update the school calendar.
11. Disseminate information to parents, students, and the public regarding rules, regulations, policies, and academic calendar changes.
12. Compile information from various sources on standardised forms.
13. Gather and prepare attendance records and maintain student absence records.
14. Maintain student record files, updating records in the computer database or filing system as necessary.
15. Manage the office notice board.
16. Respond to inquiries in the office from parents, children, visitors, and teachers.
17. Distribute messages to teachers, children, parents, and staff.
18. Follow up and organise tasks such as paid services offered by the school (bus services, extra-curricular activities, extra care, school trips, etc.).
19. Undertake other tasks as reasonably required by the Headteacher within the scope of the role.
20. Diligently update and maintain the School Information System to ensure current student records and generate necessary reports.
21. Open the school's entrance door during the day to admit visitors, parents, and students, providing assistance as needed with a welcoming and helpful attitude.
22. Accept deliveries and promptly notify the appropriate staff members.
23. Maintain a logbook to record all official letters, documents, and correspondence received by the institution.
