A Day in the Life
Medtronic’s Global Communications and Corporate Marketing Function (GCCM) is responsible for leading enterprise actions and enablement that build, elevate, and protect our reputation and brand value. As an important member of the GCCM team, you will help deliver on our strategic priorities.
In this exciting role as an Executive Administrative Assistant, you will have responsibility for the day-to-day administrative support of two Vice Presidents on the GCCM Leadership Team. This role reports to Vice President of International Communications and is expected to be located in Madrid, Spain. No business travel is required.
Responsibilities may include the following and other duties may be assigned:
* Act as the main liaison and communication bridge for the Vice Presidents, ensuring effective coordination across teams and with internal and external stakeholders.
* Manage the Vice President’s schedules, communications, travel arrangements, and information flow, using sound judgment to prioritize tasks.
* Provide comprehensive administrative and operational support, including meeting and event coordination, expense processing, and purchase order submissions.
* Prepare and manage meeting materials such as agendas, minutes, and action tracking, ensuring clarity, completeness, and timely follow-up.
* Support HR processes including onboarding coordination, maintaining confidential records, and updating team documentation and resources.
* Organize recurring and ad hoc meetings and events, handling logistics such as venue booking, catering, and presentation materials.
* Coordinate special projects and additional tasks as needed, ensuring timely delivery and alignment with strategic objectives.
Required Knowledge and Experience:
* Proven experience (5+ years) in an administrative or executive support role.
* High School Diploma required.
* Fluent in English (spoken and written), with working knowledge of Spanish and/or French.
* Strong verbal and written communication skills, with the ability to interact effectively at all levels.
* Proficient in Microsoft Office and confident using digital tools to support daily operations.
* Highly organized, with excellent time management skills and the ability to handle confidential information with discretion.
* Proactive, adaptable, and resilient under pressure, with a positive attitude.
