Startup Valencia organizes VDS, one of Europe’s most prominent international tech events and a platform transforming Valencia into a global tech hub. Since 2018, VDS has gathered the world’s top startups, along with the most influential corporates and investors, annually at the unparalleled City of Arts and Sciences in Valencia.
We are looking for an Administrative Assistant—Sales Team, eager to make a mark in their career and be part of an organization with global impact. You will join the sales team and provide support in contract management, client invoicing, payment follow-up, and periodic report preparation. If you are organized, proactive, and detail-oriented, we’re looking forward to meeting you!
What will you do?
* Preparation, sending, and follow-up of commercial contracts with clients.
* Coordination of the signing process (digital or physical) and proper filing of documentation.
* Issuance of invoices and monitoring of compliance with contractual conditions.
* Payment follow-up: tracking due dates, managing reminders, and resolving issues.
* Generation of periodic reports for the department: monthly invoicing, payment status, active contracts, etc.
* Coordination with sales, finance, and legal teams to ensure proper administrative and document flow.
* Organized maintenance of the document database and continuous updating of departmental information.
* Reporting and working closely with the Chief Revenue Officer
What do you need?
* Educational background in Administration, Finance, or a related field (Higher Vocational Training or University Degree).
* At least 2 years of previous experience in administrative roles, preferably in commercial areas.
* Proficiency in office software tools (especially Excel or Google Sheets).
* Knowledge of invoicing and digital signature platforms (DocuSign, Signaturit, Holded, etc.).
* Strong organizational skills, attention to detail, and task follow-up.
* Good communication skills and a team-oriented mindset.
* Commercial management skills, including the ability to make phone calls and speak with clients.
* Native Spanish and professional-level English.
