Key Responsibilities of the Role:
1. Review and report on the File Key structure ensuring the general instructions are followed by all.
2. Develop and maintain filing systems.
3. Collate all personnel documentation and file on the Filekey.
4. Collect & collate information for Management reports.
5. Maintain the stationary levels in the office and ensuring stock is maintained.
6. Maintain up-to-date Org Chart.
7. Document Control as required.
8. Maintain and track site personnel movements for weekly report.
9. Request and print out all project permits each week from the Eida system.
10. Book meeting rooms.
11. Scan all sign-in sheets to the project file as required.
12. Track holidays for all staff.
13. Request Dirty Works permits as requested.
14. Creating SAP Orders.
15. Ordering Plant through Fleet Tool and tracking it.
16. Developing Progress reports.
17. O&Ms and handover documentation.
18. Reporting to CM.
19. GRN all received site materials.
20. Organise access/visitor badges for site using E:Sipp machine.
21. Get test packs signed off and uploaded onto the Eida system if applicable.
22. Provide administration assistance.
23. Support BIM Head of Dept and BIM business unit managers as required.
24. Dealing with general BIM team queries.
25. Track BIM personnel hours and report to Time admins. Accuracy is of utmost importance.
26. Deal with all clocking and time recording issues.
27. Ensure new people are tracked for start and finish times.
28. Provide overall monthly spreadsheet of project spent hours as directed.
29. Work with contract agencies on IT forms, Rate cards and time tracking as needed.
30. Ensure office COVID guidelines are met and adhered to.
31. Liaise with project/site admins as required.
32. Work with the BIM team on office layouts as required.
33. Order IT equipment as required.
34. Work with Dept managers to ensure “on-boarding” of new people meets expectations and is complete.
35. Other tasks that are BIM dept specific as required.
