Your Responsibilities:
As a key member of the team, you will play a critical role in driving efficiency and performance by identifying, implementing, and managing AI-powered solutions across key internal processes. The ideal candidate will work closely with various departments, including Professional Services, Customer Support, Go-to-Market teams, etc. to explore opportunities for AI to enhance workflow, reduce lead time, improve quality, and reduce operational workload.
The AI Specialist will be responsible for conducting an in-depth analysis of current processes, proposing AI use cases, overseeing the implementation of AI-driven solutions, managing projects, and leading change management efforts to ensure successful adoption across teams.
Key Responsibilities:
1. Process Analysis and AI Use Case Identification:
2. Conduct a thorough analysis of existing workflows across key departments (Professional Services, Helpdesk, Go-to-Market, HR, Legal, etc.).
3. Identify areas where AI tools and solutions can optimize processes, reduce lead time, improve quality, and decrease manual workload.
4. Collaborate with department heads to understand their challenges and requirements, and translate these into feasible AI use cases.
5. AI Solution Design & Implementation:
6. Identify standard tools from the market and/or develop in-house automation solutions tailored to the needs of internal teams, ensuring alignment with business objectives and technical feasibility.
7. Oversee the implementation of AI tools, working alongside data scientists and IT teams to integrate AI solutions into existing systems.
8. Ensure that solutions are scalable, sustainable, and can be easily adapted across different departments as necessary.
9. Project Management:
10. Lead and manage AI implementation projects from inception to completion, ensuring timely delivery and adherence to project timelines.
11. Coordinate with cross-functional teams to allocate resources, set priorities, and ensure milestones are achieved.
12. Provide regular updates to stakeholders on the status of projects, highlighting successes, challenges, and any changes in scope.
13. Process Review and Formalization:
14. After AI implementation, review and formalize new processes to ensure smooth adoption and integration into daily operations.
15. Document new workflows, processes, and procedures, creating training materials as necessary for teams to follow.
16. Continuously monitor and assess the performance of AI solutions to ensure they are delivering the expected outcomes, making adjustments as needed.
17. Change Management and Stakeholder Engagement:
18. Lead the change management process, ensuring smooth adoption of AI-driven solutions across various teams.
19. Develop and execute training plans to educate internal stakeholders on new AI processes and tools.
20. Foster a culture of innovation and collaboration by communicating the benefits of AI to all levels of the organization, addressing any concerns and resistance.
21. Performance Monitoring & Continuous Improvement:
22. Define and track key performance indicators (KPIs) to measure the success of AI solutions and their impact on internal processes.
23. Analyze data and feedback to continuously improve AI models, tools, and processes.
24. Stay up-to-date with the latest advancements in AI technology and evaluate how emerging trends can further enhance company operations.
What We're Looking For:
1. Experience: 5+ years experience in project management and process optimization including recent experience in projects leveraging AI and automation (RPA) to drive business efficiency and improve operational performance, ideally within a tech/software company.
2. Strong background in project management, particularly in cross-functional environments, with the ability to manage multiple priorities and deliver projects on time.
3. Experience in process mapping, formalization, and continuous improvement methodologies such as Lean, Six Sigma, or similar frameworks.
4. Languages: English and Spanish or French are a plus (Interview will be conducted in English).
5. Communication: Strong communication skills, both verbal and written.
6. Technical Skills: Proficiency in AI/ML tools, platforms, and programming languages.
7. Interpersonal Skills: Ability to collaborate in a diverse and dynamic environment.
