Lead, optimize, and drive excellence in our Operations Team. To support our continued growth, we are looking for a Head of Operations to lead and continuously improve the performance of our Operations Team. This is an on-site role in Valencia, Spain, with the flexibility to work in a hybrid model.
About the role
As Head of Operations, you will be fully responsible for the efficiency, performance, and results of the Operations Team. Your role is not just about overseeing processes; it’s about actively monitoring, auditing, and optimizing the work of Project Managers (PMs) to ensure the highest level of quality, compliance, and operational success.
You will be expected to conduct regular audits of PMs' work, hold monthly one-on-one meetings, and provide structured feedback and training to ensure that all projects meet our rigorous standards. Your leadership will be critical in keeping the team motivated, efficient, and aligned with the company’s objectives.
Key responsibilities
1. Team performance quality assurance
o Monitor the daily work of Project Managers (PMs) to ensure they adhere to Novalins' SOPs, quality standards, and deadlines.
o Conduct regular audits of ongoing projects to identify errors, inefficiencies, and areas for improvement.
o Provide structured feedback to PMs and ensure corrective actions are implemented.
o Organize monthly one-on-one performance meetings with PMs to discuss strengths, weaknesses, and areas of development.
o Ensure a balanced workload allocation among PMs for optimal team efficiency.
o Track KPIs and team performance metrics, reporting results to senior management.
2. Operational excellence process optimization
o Organize and oversee daily, weekly, and monthly meetings with the operations team.
o Attend client kick-off and alignment meetings with Account Managers to ensure seamless project execution.
o Ensure the correct use of TMS (Plunet Phrase), enforcing best practices and operational efficiency.
o Proactively identify and implement process improvements to enhance productivity.
o Ensure proper training, onboarding, and continuous learning for PMs.
o Strategically assess and plan recruitment needs for full-time and backup PMs.
3. Technology innovation
o Stay up to date with new technologies and evaluate their potential to improve operational efficiency.
o Organize and oversee testing of AI-driven machine translation and QA tools, ensuring their effectiveness before implementation.
o Collaborate with the team to integrate new features in TMS (Plunet Phrase) and optimize their use.
o Act as the main point of contact for technology implementation, ensuring smooth adoption of innovative tools.
o Continuously analyze and refine technological processes to increase productivity and reduce inefficiencies.
4. Leadership team management
o Act as a strong leader and mentor for the operations team, fostering motivation and accountability.
o Ensure a harmonious and highly efficient work environment by proactively addressing challenges and team dynamics.
o Collaborate with senior management to align operations strategy with company growth goals.
o Encourage proactive problem-solving and independent decision-making within the team.
What we’re looking for
1. At least 3 years of experience in a leadership role within operations, translation, localization, or a related field.
2. Proven ability to monitor, audit, and improve team performance.
3. Strong leadership skills, capable of driving accountability and motivating teams.
4. Openness to technology, with the ability to test, evaluate, and implement new tools and AI-driven solutions.
5. Excellent organizational and problem-solving skills, with strong attention to detail.
6. Fluency in English (other languages are a plus).
7. Experience with TMS platforms (Plunet Phrase) is a plus.
8. Strong communication and feedback-giving skills to ensure continuous team improvement.
