This is a full-time position, IN PERSON, in our San Clemente office, and is available immediately.Salary and Benefits:Salary: $55,000 per yearResponsibilitiesThe Legal Intake Coordinator Receptionist is a key player in our legal production team. In this role, you will be:Greet all potential and existing clients with a warm, friendly welcomeAnswering phones with a smileScheduling consultations, client appointments, and referral partner meetingsCalendaring any consultations, appointments, or referral partner meetingsScanning documents to the appropriate client electronic filesManaging incoming and outgoing mailMaintaining a list of active referral sourcesManage client contact and questions via phone and emailLead tracking and post consultation follow-upBuilding relationships and interacting with different types of personalities, even if they’re not at their bestMost importantly, it is an opportunity to be our ambassador of first impressions. You will play an integral role in creating memorable experiences for clients and everyone else who contacts our firm.QualificationsOur ideal candidate will have:3+ years of experience in office administrationNotary Public is preferred1-2 years of reception and secretarial experience, preferably in a law officeExcellent computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and the ability to learn and adapt to practice management systemsNeat and professional appearance, appropriate for a law firm environmentIn addition, qualified candidates will demonstrate the following skills and abilities:Dependable, self-starter who can work under minimal supervisionDisplay a combination of being calm under pressure, empathy, respect, and maturityPositive energy and adaptable to changeOrganized and have exceptional attention to detailExcellent communication skills, both verbal and writtenAble to multitask, set priorities, and meet deadlines in a fast-paced office environmentA hard-working, dedicated individual who will strive to contribute to the success of the firmWe are growing, so you will be called upon to wear many hats.
