The person we are looking for this time will work in the Customer Services department of our offices in Madrid. We are looking for an exceptionally organized, proactive, and detail-oriented Administrative agent to join our dynamic Customer Service Department. The selected candidate will be responsible for leading key administrative activities, ensuring operational efficiency, and fostering a high-quality customer experience.
If you are the successful candidate, your main mission will be to…
* Coordinate and manage the department's daily administrative operations.
* Ensure compliance with standards, procedures, and policies related to customer service.
* Identify, analyse, and resolve non-technical incidents, complaints, and customer inquiries in an agile and efficient manner.
* Provide administrative support to department staff to optimize operations.
* Prepare reports, presentations, and other documents required by department management.
* Collaborate with other departments to ensure an integrated workflow.
About you…
* Degree in Administration, Business Management, or a related field
* Minimum of 3 years in similar roles, preferably in customer service departments
* Advanced proficiency in office tools (Microsoft Office: Excel, Word, PowerPoint).
* Basic to advanced knowledge of customer relationship management systems such as CRM and ERP.
* Excellent verbal and written communication skills with a strong customer service orientation.
* Ability to work in a team and solve problems effectively and quickly.
* A high level of English proficiency (B2 level according to MCER) is required, and Portuguese (B1/B2 level according to MCER) is considered a plus.
* Certifications related to administrative management tools such as OFFICE365 or CRM/ERP from SAP are highly valued.
* Key competences: proactiveness and the ability to make autonomous decisions. Teamwork and the ability to create a collaborative work environment. Adaptability to changes and the ability to handle multiple tasks simultaneously. Commitment to excellence and continuous improvement in customer service quality.
