For one of our main customers we are looking for an Executive Administrative to cover a maternity leave.General Data:Type of contract: IndefiniteHours: 09:00 - 18: 00h / Flexibility (40 hours)Location: Madrid (Spain)Start Date: May 2025Salary range : 30K - 34KResponsibilities:Pro-active diary management of Country General Manager complex calendar on an ongoing basis, working across multiple time zones and countries, ability to prioritize calendar based on business needs to ensure accurate scheduling. Ensure GM is prepared for the meetings and follow-up on next steps.Work closely with the SE&O team wide business operations initiatives. Maintain the ROC (Rhythm of Comunication) ensuring that the Country GM and LT is informed of any potential clashes and rescheduling as appropriate. Reconciling the Country GM expense reports, ensure timely processing and approvals as appropriate. Interim approver of Leadership Team expenses.Coordinating team morale events while staying within the allocated budget. Coordinate executive visits (WE, EMEA and Corp.) Maintaining and publishing organizational charts, contact lists, org level aliases and distribution groups. Ownership of internal processes, including MyOrder – creating Purchase Orders, tracking invoices.Lead and coordinate Admin Assistants Team. (including doing interviews and leading the recruiting and onboarding process).Required Skills:8-10 years working for a CEO.Ability to deal with numerous competing demands and range of different people in a fast-paced environment. Positive, Self-motivated, hands on, can do attitude.Proactive approach to anticipating the executives’ needs.
