THE OPPORTUNITY:

Reporting into the Chief Operating Officer and co-founder, the Director of Operations will be responsible for developing and implementing operational processes that drive efficiency, cost-effectiveness and quality across Medialab to ensure we have best in class and future-facing systems and process that reflects the brilliant work we do for our clients.
KEY RESPONSIBILITIES:
Process/’Systemology’
* Evaluate existing process within the business, identify gaps and ensure consistent use across Medialab to provide efficiency and scalability.
* Encourage a culture of continuous improvement and identify bottlenecks.
Client Operations Efficiency
* Working with the Client Managing Directors to ensure client operational efficiency within team and smooth running of recently embedded revised team structure.
* Working with Finance to make month end billing process more efficient and better use of current media trading/invoicing platform.
* Medialab Services audit – reviewing what we offer, where the gaps are and how we teams can maximise organic growth across channels and services.
* Contract management process within client teams to ensure Scopes of Work and SLAs in practice are reflective of what we agreed to do; review of contract renewal process to ensure a proactive approach to client conversations.
AI
* As part of Medialab’s continued learnings and implementation of AI, drive change within the business to ensure the efficiencies of AI.
* Collaborate with internal teams to identify where AI can be best applied, enabling teams to work more efficiently and transform process.
Office Management
* Responsible for the Office Manager and working closely with them to ensure we have a working home that we are proud of and is conducive to productivity and growth while being a welcoming space for our team and our clients.
Internal systems/Communications
* Evaluate the use of existing systems and tools to ensure they meet the needs of Medialab for the ‘now and next’.
* Report and implement the ‘so what’ of why we have them and streamline existing internal communication platforms to drive efficiency and enhance collaboration.
* Communicating and embedding Medialab’s Golden Rules to ensures efficient and productive ways of working are adopted in line with our values.
Information Technology
* Manage the relationship with our external Master Service Provider to monitor their effectiveness, proactively assess and manage Medialab’s risk and oversee information security compliance.
* Assess future needs to ensure continuous improvement.
Sustainability
* Responsible for ensuring the ESG/Sustainability Lead is driving change within Medialab across both Medialab’s internal emissions and monitoring and reporting on the effect of the work we carry our for our clients.
* Ensure ESG initiatives are embedded into operational process and strategy.
SKILLS & EXPERIENCE:
* Significant relevant experience in operational leadership role with a track record of implementing and managing process and efficiency.
* Be proactive and drive change. The ability to see around corners and ensure Medialab are ahead of the curve to enable growth.
* Data-driven with strong analytical and problem-solving skills, focusing on continuous improvement and operational brilliance. Using data to drive decisions and measure efficiency.
* Experience with project management methodologies and tools to drive effective delivery.
* Commercial acumen with the ability to manage budgets, identify cost-efficiencies and maximise resources.
* Strong communication, interpersonal and management skills. The ability to get your message across effectively and clearly is key while at the same time fostering a collaborative team environment aligned with our values.
* Technology – broad knowledge of IT/information security, systems, tools and technology is key, and to be inquisitive as to how AI can be implemented effectively.
* Ability to manage senior relationships and report Board level.
* To work independently and be a wizard and manage multiple projects and tasks
