DESCRIPTION
We are looking for our new EMEA Operations Coordinator to support our growth in EMEA region. This role is critical in supporting the EMEA commercial team by managing operational processes, coordinating activities, and ensuring smooth business operations. This position requires strong organizational skills, attention to detail, and the ability to collaborate with multiple stakeholders to drive efficiency and support our growth.
RESPONSIBILITIES
EMEA process support:
* Work closely with the EMEA Logistics specialist on organizing and monitoring shipments to specific countries requesting additional documentation and activities.
* Support the EMEA Operations team on executing and maintaining some specific process to raise team’s efficiency and impact customer experience.
EMEA governance:
* Partner with our EMEA Office manager on coordinating the life of our Madrid office to guarantee that our employees enjoy a comfortable and attractive working space.
* Take the ownership of the organization of the New Hire Onboarding Week (NHOW) taking place in Madrid (meeting scheduling, attendees’ presence, hotels and restaurants booking…) to guarantee the success of the onboarding
* Act as a Point of Contact for any request for information and documentation from our large customers, our 3rd parties and our vendors
Marketing activities:
* Coordinate the receipt of incoming leads from different sources which are not directly connected to our CRM.
* Become the Point of Contact for marketing orders in EMEA for both internal and external requests: own the coordination between different departments, act as a Power User in the ordering tool, execute the placement of orders when necessary, ensure the level of quality of service of the deliveries and train team members involved.
Overall, the role will provide needed support on operational ad-hoc requests to support the needs of the EMEA team. Salary range : 20-25K annual + bonus.
REQUIRED SKILLS AND QUALIFICATION
* Bachelor’s degree in Business Administration, Sales, Marketing, or a related field.
* 2+ years of experience in operations, commercial coordination, or a related role.
* Proficiency in CRM software (e.g., Microsoft Dynamics), digital tools and Microsoft Office Suite (Excel, PowerPoint, Outlook).
* Strong problem-solving skills.
* Excellent communication and interpersonal skills.
* Advanced ability to multitask and prioritize in a fast-paced environment.
* Detail-oriented with strong organizational skills.
