Maintain the lounge at optimal levels of order to welcome clients, agents, collaborators, etc.- Change and maintain the storefront advertised properties- Inventory control on marketing, company nuttery presents, office and lounge supplies.- Attend Walk-in clients. Deal with clients´ inquiries and represent the company´s values and level of service in all interactions. Provide excellent levels of customer support and assistance- Take customer data ' walk-ins' and perform data entry in the company´s CRM and then liaise with the agent in charge or manager for allocation.- Deal with clients/agents/managers’ requests during lounge meetings.- Handle mailing, packages, and delivery servicesProvide support and assistance to commercial, back office, and management teams:- Request, file, and manage documentation based on request (Nota simple, printing, scanning, etc)- Properties Keys Control- Provide support and assistance to Management requests- Team Assistant Back-up- CRM management of information (properties, accounts, etc.)- Client creation. Maintenance of database (correct spelling, add customer information…)- Property creation (If needed). Upload photos, floor plans, and other documents of Sales properties in SF.- Documentation Control (Physical and digital)- Change the status of Sales properties in SF.- Make a selection, resize photos, then upload photos from listings and activate them.Marketing:- Portals’ control and social media- Brochures, marketing material, Lucas Fox Newsletter…- Events- Miscellaneous administrative tasks and working together with the administration team to fulfill a variety of business needsDesired skills & expertise:- Previous experience in an administrative or customer service role in an international company- Fluent in English and Spanish (other languages are a plus)- Proactive with a ‘can-do’ attitude, resolute, creative, and highly motivated person- Ability to work independently with minimal supervision- Able to handle a fast-paced, sometimes pressured office environment- Organized and focused on work efficiency- Proactive and collaborative- Outstanding levels of customer service and telephone manner- Extremely proficient and savvy with IT tools, Microsoft Office pack, CRMBenefits- Full-time permanent contract- Competitive salary plus attractive variable compensation- 23 days holiday per year on full-time basis + 2 personal days- Weekly language classes, during working hours (all paid by Lucas Fox)- Discounts and incentives for well-known brands of gyms, clothing stores, sports, travel, and much more.- Extensive initial & ongoing training- Being part of a constantly growing company & multicultural team, with endless opportunities for career development- A modern, international & professional working environment
