We are actively looking for a Legal Receptionist to join our expanding team. This is a full-time position, IN PERSON, in our San Clemente office and is available immediately.
Salary and Benefits:
Salary range: $46,000.00 - $48,000.00 per year
Responsibilities
The Legal Receptionist is a key player in our legal production team. In this role you will be:
1. Greeting all potential and existing clients with a warm, friendly welcome
2. Answering phones with a smile
3. Scheduling consultations, client appointments, and referral partner meetings
4. Calendaring any consultations, appointments, or referral partner meetings
5. Scanning documents to the appropriate client electronic files
6. Managing incoming and outgoing mail
7. Maintaining list of active referral sources
8. Managing client contact and questions via phone and email
9. Lead tracking and post consultation follow up
10. Building relationships and interacting with different types of personalities, even if they’re not at their best
Most importantly, it is an opportunity to be our ambassador of first impressions. You will play an integral role in creating memorable experiences for clients and everyone else who contacts our firm.
Qualifications
Our ideal candidate will have:
1. 3+ years experience in office administration
2. Notary Public is preferred
3. 1-2 years reception and secretarial experience, preferably in a law office
4. Excellent computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and the ability to learn and adapt to practice management systems.
5. Neat and professional appearance, appropriate for a law firm environment.
In addition, qualified candidates will demonstrate the following skills and abilities:
1. Dependable, self-starter who can work under minimal supervision
2. Display a combination of being calm under pressure, empathy, respect, and maturity
3. Positive energy and adaptable to change
4. Organized and have exceptional attention to detail
5. Excellent communication skills, both verbal and written
6. Able to multitask, set priorities and meet deadlines in a fast-paced office environment
7. A hard-working, dedicated individual, who will strive to contribute to the success of the firm
8. We are growing, so you will be called upon to wear many hats. You need to be able to change gears quickly … with a smile
9. Genuinely care about clients and want to deliver a top-notch experience
10. Value doing it right the first time, proofread your work, and double-check details
11. Eager to learn new tasks and computer systems
12. You must be on time and available to work in the office Monday - Friday from 8:30am - 5:00pm.
Compensation
$46,000 - $48,000 yearly
