Description
We are currently recruiting a Logistics Executive to join the team in Barcelona. This is a challenging role in a fast-paced environment, requiring a committed, team-orientated individual, excellent customer service and communication skills, a strong administrative background, and attention to detail.
Key Responsibilities
* Provide efficient delivery logistics through shipment management. Fill out import-export and logistics documentation, keep track of shipments and incidences.
* Coordinate European deliveries through the warehouse hubs and ensure the goods are delivered On Time In Full. Liaise with the warehouses for arrival and deliveries, ensuring the client's warehouse requirements are met. Issue delivery notes and update the logistics tracker accordingly.
* Liaise with Clients and Forwarders to check Customs regulations and be responsible for arranging and completing all associated paperwork to comply with client's/markets' foreign trade requirements. Accurately prepare shipping documents for customs clearance and other documents before the products ship.
* Ensure documents are completed and updated in a timely and efficient manner according to regulations and internal procedures.
* Prepare, control, and distribute all required Import documents and shipment information to counterparts (carrier, internal logistics teams, consignee, clients, supplier, etc.) while complying with regulations and internal procedures. Communicate with suppliers, forwarders, and external and internal clients.
* Check responses from counterparts and finalize validation of required documents.
* Monitor delivery schedules to correct any mistakes or problems that occur. Coordinate with overseas customs agents for international deliveries.
* Proactively monitor and follow up based on the shipping plan and liaise regularly with Forwarders and Carriers to ensure shipment, transit, and delivery is made on time (in full). Follow up on shipment status in the Import area; identify incidents and ensure resolution of incidents.
* Support the Accounts Team with Logistics quotations and chase the Forwarder to respond to quotations within the agreed KPI. Provide support for logistics questions.
* Manage deadlines and sometimes difficult situations; therefore, an element of negotiation is required to deal with the demands of overseas counterparts to meet timescales.
* Ensure customer requirements are met and take corrective actions in case of deviations from customer requirements. Maintain and update Logistics Manuals and market bibles' information.
* Ensure effective communication with all team members (Account Team, Operations, Forwarders) through the use of weekly meetings as appropriate.
Skills, Knowledge & Expertise
* At least 1-2 years of working experience in the Logistics/Forwarding/Import/Export environment.
* Familiarity with the legal requirements regarding importing and exporting shipments.
* Familiarity with logistics quotations, shipping documents such as B/L, CMR, POD, and a good understanding of Incoterms and how to calculate chargeable weights versus volumes and types of transport.
* Excellent organizational abilities to manage multiple projects and prioritize tasks.
* Strong written and verbal communication skills. Languages: Spanish, English (fluent – used daily).
* Familiarity with computer software programs, e.g., Microsoft Office. Excellent Excel skills.
* Ability to function in stressful and chaotic situations while maintaining flexibility, patience, pleasantness, and accuracy.
* Efficient communication with customers, transportation companies, drivers, customs brokers, and various other authorities.
* Strong administrative skills and organization.
