We are looking for an Academic Planning Manager to join our team in Barcelona. This role is crucial within the Academic Operations department, ensuring the strategic planning and execution of academic scheduling, faculty coordination, and course projections for the different intakes of the school. The Academic Planning Manager will lead the scheduling team, liaise with faculty, and develop strategies based on data analysis to optimize course planning and operational efficiency.
DUTIES & RESPONSIBILITIES:
1. Develop and manage academic schedules across multiple intakes.
2. Lead the scheduling team to ensure accurate faculty and room assignments.
3. Oversee assessment scheduling and distribution of schedules to stakeholders.
4. Monitor classroom utilization and faculty workload for efficiency improvements.
5. Implement scheduling processes aligned with institutional growth.
6. Liaise with faculty to address scheduling needs and conflicts.
7. Ensure compliance with institutional policies for faculty workload distribution.
8. Coordinate with academic and operational teams for course planning.
9. Support faculty recruitment by screening candidates.
10. Analyze data to optimize course scheduling and resource allocation.
11. Forecast scheduling needs based on historical data and trends.
12. Generate reports on scheduling efficiency and utilization.
13. Supervise and mentor the scheduling team.
14. Ensure accurate scheduling records within the student administration system.
SKILLS & EDUCATION:
1. Strong leadership and organizational skills, with experience managing teams.
2. Excellent written, verbal, and interpersonal communication abilities.
3. Proficiency in scheduling software and experience working with databases to generate reports.
4. Advanced knowledge of Microsoft Office tools, especially Excel.
5. Strong analytical skills and the ability to develop strategic projections based on data.
6. Ability to work effectively in a fast-paced, multicultural environment.
7. Proven experience in academic planning, scheduling, or operations in a higher education setting.
8. High attention to detail and ability to meet deadlines.
9. Experience with academic scheduling software is a plus.
10. Proficiency in English.
