With a strong global presence in 40 countries, Bluestone Pharma is undergoing an expansion and requires a strong team-player to fulfill the Operations Manager role.
Role Description
This is a full-time hybrid role for an Operations Manager at Bluestone Pharma. The Operations Manager will be responsible for overseeing daily operational activities, managing processes, and ensuring efficiency in the production and distribution of probiotic formulas. This role is based in Sitges, Spain but allows for some remote work.
Key Responsibilities:
* New Order Management:
- Ensuring a timely and accurate order management workflow process.
- Ensuring correct operational and financial documentation is provided to customers, our manufacturing facility and other stakeholders, fulfilling internal KPIs at all times.
- Keep up to date all company product information, codes, customer data, financial data and any other information related to customer fulfillment, invoicing and operations management in the company’s ERP systems.
- Coordinating with the Commercial department on the onboarding of new customers, providing prospective logistics solutions to new prospects, ensuring that inter-departmental workflow processes are adhered to and that other departments support the order management process by providing timely input and documentation.
* Logistics Solutions:
- Collaborate with external transport and logistics companies to develop cost-effective and reliable transport solutions.
- Negotiate rates and contracts with service providers to optimize costs and improve delivery times.
* Document Management:
- Oversee the creation of export documentation, including pallet specifications, packing lists, commercial invoices, and customs documents and liaise with customers with regards to order collection.
- Ensure all documentation is accurate, complete, and submitted in a timely manner.
* International Export Coordination:
- Oversee the planning and execution of international deliveries to ensure timely arrival and adherence to client requirements.
- Monitor and address any logistical issues, delays, or discrepancies.
* Process Improvement:
- Identify opportunities to streamline logistics and documentation processes.
- Implement best practices to enhance operational efficiency and reduce costs.
* Leadership:
- Work closely with company management on company initiatives to improve operations efficiency, company performance and customer satisfaction.
Qualifications
- Operational management and process optimization skills
- Experience in production and distribution management
- Supply chain management and logistics experience
- Team leadership and project management skills
- Strong analytical and problem-solving abilities
- Excellent communication and interpersonal skills
- Ability to work independently and collaboratively
- Experience in the healthcare or pharmaceutical industry is a plus
- Bachelor's degree in Business Administration, Operations Management, or related field
