About the Role
We are currently seeking an Executive Assistant to the Steering Committee for our headquarters located in Castellbisbal (Barcelona). This role will provide high-level administrative support to the CEO, Chairman's Board of Directors, and other senior leaders.
Key Responsibilities
* Maintain the CEO's calendar and appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
* Maintain the CEO's confidence and protect operations by keeping information confidential.
* Evaluate email and voicemails to identify items requiring priority attention of the CEO or Chairman's Board of Directors.
* Prioritize and facilitate communication between the CEO, Chairman's Board of Directors, Executive team, Business Units' CEOs, Advisory Board Members, Institutional Relations stakeholders, and other third parties.
* Communicate and plan daily with the CEO or Chairman's Board of Directors regarding meetings, presentations, and other priorities.
* Distribute meeting notes, transcribe visuals, and document follow-up items from meetings.
* Perform complex administrative work that often requires a high level of confidentiality, discretion, and judgment.
* Gather data as needed to prepare clear and concise reports and correspondence.
* Schedule travel arrangements for the CEO's or Chairman's Board of Directors and occasionally for other team members as needed.
* Assist with personal errands and appointments.
* Organize regular reports and communications within the department and review with the CEO or Chairman's Board of Directors as needed.
Requirements
* 5-10 years of experience working in a similar support role is required.
* A strong understanding of Microsoft Office products and SAP user level is necessary.
* Spanish and English: Advanced/Proficiency level is required.
