The purpose of the role
The Office Manager position is a unique role which would require you to wear multiple hats to deliver on a very diverse set of responsibilities within the People and Places Experience arena.
On the People experience side, you would be providing Executive support to a number of Vice Presidents in Europe and working within the HR European team in different initiatives that focus on enhancing our people experience.
On the Places side, you will be the Office Manager for our brand-new office in Barcelona, delivering best-in-class employee and customer experience whether in person, by phone, or virtually.
Responsibilities
1. Executive Support
2. Responsible for the management of the agendas of the local VPs to assist in organizing meetings locally with internal and external contacts.
3. Management of the travel of the Executive Team members as per request (booking flights and accommodation) and management of expense reports.
4. Administrative secretarial work including organisation of events (seminars, meetings, team workshops) for the VPs that you will support.
5. Liaison with the Executive Assistant of the President to support the orchestration of monthly executive meetings taking place in the Barcelona office.
6. Safety First: Collaborates with our WH&S Manager to ensure compliance with WH&S procedures and guidance in the office.
7. Management of office supplies (stationery, catering, equipment, and other services) directly dealing with suppliers and following up on the general services budget.
8. Reception duties to welcome guests when required and collaborate with the Receptionist team in our Valls site for alignment in employee communications.
9. General office administration.

11. Provide support on Human Resources and/or Culture initiatives, building presentations and participating in projects.
Requirements
1. Diploma level of education in Administration, HR, or similar.
2. 4 years of experience in an Office Manager, Recruiter, HR Coordinator, Executive Assistant position, or similar.
3. Experience in a multinational environment would be valuable.
4. Fluency in English and Spanish; other languages would be valuable.
5. Excellent written and verbal communication skills.
6. Enjoys being in a people-facing position; proven experience delivering great customer experience.
7. Great attention to detail and ability to manage a diverse set of responsibilities.
8. Experience building engaging presentations or communications in PowerPoint or similar.
