This is an individual contributor role that will be based in Barcelona and reporting to the Sr. Manager of Medical Education Meeting Planning Europe. The scope of this role will be Spain.
What will you be doing?
The Medical Education Meeting Planner will be responsible for all aspects of Meeting Planning for Medical Education programs from inception to completion and will act as a true business partner with Medical Education, and other integral internal functions to ensure delivery of the highest quality and a consistently excellent customer experience; will provide a world-class level of customer service on a day-to-day basis that represents Smith+Nephew Medical Education in Italy in the designed Franchises, ensuring strategic alignment, consistency, and best practice.
Responsible for working closely with their franchise Medical Education Program managers & marketing partners by supporting the planning, coordination, and execution of our Medical Education activities, including initiatives such as medical education events, society engagement, and simulation educational offerings to drive awareness, standard of care, product adoption and improved patient outcomes.
This role will manage production for the entire event cycle, including venue sourcing, contract negotiation, AV/production sourcing, ground transportation, F&B planning, event design, event management technology, attendee registration and management, onsite event support, pre/post event evaluations, as well as program budget management and reconciliation.
This person will have excellent time management, meet strict deadlines, have keen attention to detail, strong communication skills both written and verbal, and the ability to manage multiple tasks while maintaining a high level of customer service and perform all the required tasks in accordance with the local regulation, policies and procedures set forth by the Office of Compliance and Ethics, as well as the Company's Code of Conduct and Business Principles and the relevant industrial codes.
Responsibilities: Event Management Planning
* Manage meeting planning logistics for Medical Education courses that generally range in size from 2-100 attendees, and some larger symposia and larger virtual events. This may include venue, AV, ground transportation, F&B planning, HCP travel, etc.
* Oversee attendee experiences from event planning phase through post-event review; manage on-site preparations, and ensure consistent, high-level service throughout all phases.
* Prepares budget and monitors expenditures for each meeting. Ensures timely vendor payments and event reconciliation.
* Work with pre-determined locations including Smith & Nephew Academy and HCP training sites. Occasionally will conduct site selection and be involved with contract negotiation for alternative venues.
* Lead pre-event planning calls.
* Ensure adherence to all Compliance, Code Of Conduct and local laws regarding interactions with Health Care Providers (HCP).
* Leverage Meeting Management technology solution(s) for attendee management and communications.
* Effectively communicate directly with HCPs.
* Troubleshoot and handle any issues that arise on the event day.
* Tracks and processes all HCP changes, including travel (flight/rail), ground, hotel confirmations and cancellations.
* Provides reports such as: rooming, participants list, ground transportation, group air, arrival and departure, food and beverage, translation etc.
* Knowledge of meeting planning policies, procedures, compliance, business and best practices.
Reporting and compliance
* Manage Compliance reporting for all activities, inclusive of aggregate spend, transparency, etc.
* Adherence to S+N business conduct policies and procedures as well as local laws and regulations.
* Maintain the highest standards of ethics and compliance.
Supplementary tasks
In addition to the above, employees may be asked to perform other duties that may be reasonably required within the scope of the job title and to always work safely with due regard for health, safety and environmental protection.
The role is within a team of Medical Education and working closely with other Medical Education teams. Collaborating and working flexibly will be required to ensure smooth delivery and work coverage across all teams, as required.
What will you need to be successful?
Education:
Diploma / Bachelor’s degree or equivalent experience.
Fluency in English and proficient/native Spanish.
Other languages (Italian/Portuguese) will be a plus.
Experience:
1 year experience in meeting planning, hospitality and event management, preferably in the medical industry (medical device/pharma).
Cvent experience or similar tools as a plus.

Hybrid role (2 times per week in the office).
Currently, this role will be Part time and Fix term contract (Temporary).
Some domestic travel could be required.
