We’re seeking a highly organized and proactive Part-Time Office Manager to ensure the smooth running of our operations and foster a productive and engaging office environment.

JOB SUMMARY:
As the Part-Time Office Manager, you will oversee the daily operations of our Barcelona branch office (10 – 15 employees), working approximately 12 hours per week, specifically on Monday, Wednesday, and Friday from 1:00 PM to 5:00 PM. The office operates on a hybrid work model, with 3 in-office days and 2 remote work-from-home days for employees. You will play a key role in managing office facilities, supporting staff, and ensuring compliance with local regulations.
KEY RESPONSIBILITIES:
1. Manage office facilities, supplies, and equipment to ensure smooth day-to-day operations.
2. Oversee maintenance and repairs, liaising with landlords and service providers as needed.
3. Ensure compliance with local health, safety, and workplace regulations.
4. Act as the first point of contact for staff inquiries related to office resources and policies.
5. Support onboarding of new hires, including workspace setup and integration into the office environment.
6. Support offboarding of employees, ensuring all necessary exit procedures are followed, such as return of company property, deactivation of accounts, and organizing exit interviews.
7. Organize occasional team events, workshops, and initiatives to maintain employee engagement and morale.
8. Track office expenses, negotiate with vendors, and ensure cost-effectiveness.
9. Assist in managing invoices and liaise with the finance department on budget planning.
QUALIFICATIONS:
1. A Bachelor’s degree in Business Administration, Management, or a related field is preferable but not mandatory. Relevant work experience in office management or administrative roles will also be highly valued.
2. Proven experience as an Office Manager, Administrative Manager, or similar role, ideally in the technology or software development sector.
3. Strong knowledge of local labor and workplace regulations in Spain.
4. Proficiency in office software (e.g., Microsoft Office Suite).
5. Exceptional interpersonal and communication skills, with fluency in English and Spanish (Catalan nice to have).
