As the Hospitality and Event Coordinator, you are responsible for planning and executing on-site events, such as onboarding sessions and other internal meetings. You will act as a point of contact providing support with internal and customer-related events. You will manage event planning, annual scheduling, and room bookings, procure and coordinate vendor services, and evaluate alternative event locations when necessary.
Main tasks & Responsibilities
* Plan and execute employee general meetings on-site, such as onboarding sessions and governmental visits, as well as non-hosted events.
* Manage the big rooms meeting calendar and user requests.
* Work closely with employees to facilitate internal events coordination, including customer events.
* Coordinate with suppliers, technical teams, and strategic partners to ensure the quality and success of events.
* Oversee the logistical phases of the event, including schedules, budgets, and necessary materials.
* Ensure compliance with requirements as well as Safety & Environment regulations.
* Provide support during events as needed.
* Conduct post-event analyses, identifying opportunities for continuous improvement in future initiatives.
* Support improvement spaces, furniture, equipment, and event-related studies.
* Perform administrative tasks related to events, such as purchase orders and invoices.
* Participate in post-event evaluations to identify opportunities for improvement.
Qualifications and Work Experience
* University degree in Public Relations, Communication, or Marketing.
* Fluent in Spanish and possess a high level of English.
* Previous experience (3-5 years) in a similar role.
* Applications with degrees in related fields and extensive experience in similar roles will also be considered.
