ICFO’s Projects Unit provides management and administrative support to ICFO’s researchers and scientific strategies. This covers: capturing new research funding under competitive calls, coordinating and contributing to research project proposals, and managing the financial, legal and administrative aspects of (all) awarded projects in coordination with the other support departments.
We are seeking a dynamic Project Porfolio Manager to join the Competitive Funding Team at ICFO specializing in photonics and advanced materials. This role is critical to ensuring the effective planning, execution, and monitoring of projects, as well as fostering collaboration between research teams, funding entities, and consortium members.
KEY RESPONSIBILITIES
The responsibilities of the Project Manager include, but are not limited to:
* Proposal Preparation: Assist ICFO Group Leaders and their research teams in the preparation and submission of high-quality research proposals.
* Project Oversight: Ensure smooth project operation by managing timelines, overseeing the completion of deliverables in the correct format, and meeting submission deadlines.
* Risk Monitoring: Identify and monitor potential project risks, ensuring proactive resolution to mitigate impacts.
* Meeting Coordination: Organize, document, and participate in project meetings and other relevant events, ensuring all actions are tracked and followed up.
* Financial Collaboration: Partner with the economic reporting team to align scientific objectives with financial requirements, bridging the gap between technical and administrative aspects.
* Stakeholder Liaison: Act as the primary point of contact for administrative questions, providing timely follow-up and coordination between ICFO Group Leaders, funding agencies, and consortium members.
* Regulatory Knowledge: Stay up-to-date with project management best practices and the regulations governing competitive funding calls and proposals.
REQUIREMENTS
The candidate should have:
* A Bachelor’s degree (or higher) in a relevant field of Science, Engineering, or a related discipline.
* A minimum of two years of experience managing European Projects, demonstrating familiarity with EU funding frameworks and processes.
* At least two years of experience in preparing research proposals, ideally within a scientific or academic environment.
* Fluency in English and Spanish is required.
* Knowledge in Catalan is desirable.
* Demonstrated ability to thrive in a fast-paced, dynamic, and international research environment.
* A strong service orientation combined with initiative, attention to detail, and a commitment to organizational excellence.
* Proven ability to meet deadlines and independently follow through on tasks with minimal supervision.
* Outstanding organizational, planning, and problem-solving skills.
* Excellent written and verbal communication skills, fostering clear and effective collaboration.
Additionally, it would be considered as a plus:
* Secured a Master or a PhD degree in a relevant area of Science or Engineering.
