Position Summary
Essential Job Functions:
1. Give support to the sales team in order to prepare the quotes (proforma invoices, configuration sheets and conversion request forms).
2. Prepare the necessary contracts and amendments and submit it to the legal department for approval.
3. Update the status of the orders in the pipeline application, in order the sales forecast is maintained accurately.
4. Check that all the documentation is correct, configure the order in the system and place them to production in a timely manner.
5. Troubleshoot problems as needed by working with the sales, compliance, finance, legal, production, shipping and field service departments to clear obstacles and keep orders in process.
6. Prepare (or get and review) all the shipping documents and organize (or follow up) the shipments of the orders to the delivery places.
7. Follow up on live date, removal date and conversion date for participation orders and advise all the necessary people.
8. File all the necessary documentation as requested by the internal and external auditors.
Qualifications:
Education: University Degree and/or Foreign Trade educational background.
Required Experience: 3 years business experience in international environment.
Knowledge, Skills & Abilities:
1. Fluent in English, French and Spanish.
2. Good knowledge of Microsoft Office.
3. Knowledge in International Commerce rules, incoterms, documents, is valuable.
4. Knowledge of Oracle / Navision preferred.
5. Ability to prioritize and meet deadlines.
6. Must be very detail oriented.
7. Excellent written and verbal communications skills.
8. Must be flexible and willing to take on additional tasks as job requirements may change.
