Your role
What you will do:
* Support on developing, managing and/or coordinating a wide variety of on-going and planned scientific events and seminars, which includes all logistical aspects of the events, etc. As well as to organise internal social and scientific events and collaborate in the organisation of institutional events, meetings and visits.
* Visitor arrangements for the different groups: travel booking, meeting rooms, agenda, etc.
* Travel booking for staff and travel/hospitality reimbursement (pending approval HR when the person starts).
* Registration fees to conferences and courses.
* Seminar organisation: 50 Anniversary event, One-EMBL Seminar, Seminars by the Beach (agenda, bookings, catering, etc).
* Unit meetings (agenda, calendar updates, etc).
* Organisation of events/retreats hosted at EMBL BCN.
* Help with the logistics for the workshops/meetings scheduled in 2024 and 2025.
* Support unit operations.
* Administrative tasks such as purchase orders, reimbursements etc.
* Support development of process map and workflows.
* Support onboarding of new staff.
* Task related to ERP/SAP.
You have
What you will need:
* We are looking for a proactive team player who would like to pursue a career in business administration. As our ideal candidate, you are studying/have a degree or completed an apprenticeship in Public/Business Administration/HR/Event management or a related field.
* Ideally, you have a basic understanding of administration and the office environment generally with great attention to detail.
* With a commitment to providing exceptional customer service, you have integrity and are able to work effectively with people of different cultural backgrounds.
* You will also need to have good organisational skills, reliability as well as the ability to plan and prioritise your work.
* Innovative and analytical with a flexible mindset, you are able to effectively communicate and collaborate cross-functionally.
* You are a curious quick learner who constantly looks for ways to improve and is capable of working autonomously.
* Fluency in written and spoken English.
You might also have
* Prior first relevant experience is advantageous.
* Spanish would be an asset.
