As a Global SAP COE Project Administrator and Barcelona Facility Coordinator, you will provide administrative support to the SAP COE Managers in different regions and support day to day operations in the Barcelona Technology Center. The Administrator maintains oversight, suggests improvements to and provides support for the administrative and project management processes of the Global SAP CoE.
Key Responsibilities
Global SAP COE (Project) Administrator:
1. Provide support to the SAP COE Managers in different regions.
2. Resolve problems and issues related to procurement, HR, Finance, and IT processes.
3. Initiate and support SAP COE initiatives for process standardization and continuous improvement.
4. Facilitate project management best practices for project team.
5. Assist the project/program manager to manage and maintain data used for project execution, management, and reporting.
6. Support the tracking and reporting of the team capacity utilization in Planview.
7. Support the tracking and reporting of SAP COE budget.
8. Support the onboardings / offboarding globally.
9. Support the management of the Global SAP Change Governance Framework.
10. Work closely with the global Procurement team to manage existing and new contracts for the Global SAP CoE (requisitions, receipts, invoices, etc.).
11. Organize and schedule critical Global SAP meetings, like Monthly Steering meetings, Change governance meetings, Project meetings, etc.
12. Help organize global and regional events.
Barcelona Facility Coordination:
1. Single point of contact for managers and/or employees with specific local processes and practices, including HR, EHS, etc.
2. All site administration duties include arranging facilities, supplies, and other necessities for the office, including office meetings, events, and executive visits.
3. Work with local HR and hiring managers for onboarding new team members and facilitate their integration within the team.
4. Maintain internal communication and facilitate team building activities.
5. Maintain regular contact with site owner regarding contract renewals, monthly invoices, and report any incident/issue in a timely manner, following up until resolved.
Qualifications
1. Bachelor degree or equivalent education.
2. 3-5 years of qualified administrative activities and/or management assistant experience, preferred.
3. Excellent English level. Other languages knowledge is a plus.
